Morini Riders Club Privacy Policy
In order to go about our business The Morini Riders Club (“MRC”) must hold certain information about members and people who purchase services or goods from the club. This document explains how this data is collected, used and stored, and your rights to view or remove the data we hold on you.
Scope of Document and Definitions Used
The Morini Riders Club (“MRC”) is a not-for-profit organisation, run by Volunteers (“The MRC Committee”) for the sole purpose of promoting and supporting interest in Moto Morini Motorcycles and to arrange social events for Full or Associated Members of the MRC, or invited guests (“Members”), as defined in the MRC Constitution, which can be seen HERE
In delivering our constitutional obligations. The MRC offers “Services” including but not limited to the following: Social Events, Rideouts, Rallies, Track Days, Internet Resources, Loan of the Club Motorcycle, Purchase of Club Products, and the Club Magazine (“ATG”).
This document applies to your personal data that the MRC holds in electronic form. Unless explicitly stated, The MRC does not retain data in printed or handwritten form. Personal data submitted to the MRC in printed or handwritten form is shredded once the data has been transferred to the MRC’s electronic database.
What data we hold:
All, or some of, your full name, postal address, phone number(s) and email address.
We also hold your method of payment. In addition, for standing order payments we hold the payment date and payment reference. Please note that we do not hold your credit card details where you have paid for goods or services online.
If you have provided us details of the Morini Motorcycles you own, these details will be saved with your member record. We hold this information while you are a member of the MRC and for 2 years after your membership lapses.
If you have ordered goods or services from the club but are not a member or lapsed member we will delete personal information after 1 year.
Where the MRC organises events (including but not limited to Trackdays and Rallies) which require additional personal information, any personal data provided by you will be held by the event organiser solely for the purposes of running the event and keeping you informed in relation to the event. This data will be held for a period of 2 years after the event.
If the MRC has loaned you the Club Motorcycle, you will have additionally also provided us your Driving License number and Insurance details on the signed Loan form. These signed forms will be kept in their original paper form by the Club Motorcycle Administrator for a period of 1 year.
How is this Data Collected?
You have supplied this information to the MRC in written or electronic form when applying for Membership, Goods or Services from the MRC.
If applicable, we collect your standing order reference & payment date from our bank statement. This enables the MRC to be sure that you have paid your subscription and are entitled to the benefits of membership.
If you use our Website or Forum, your IP address is recorded when you perform certain actions. Your IP address is never publicly visible. We may additionally collect non-personally identifiable information about you in the course of your interaction with our site. This information may include technical information about the browser or type of device you’re using. This information will be used purely for the purposes of analytics and tracking the number of visitors to our site.
Who has Access to this Data?
Only The MRC Committee has access to this data.
We do not pass on personal data to third parties, other than for legitimate operational reasons required for us to fulfil our obligation to you (for example providing our print supplier a postal list for ATG delivery, or confirming driving license status to our Trackday supplier), or where we are legally required to provide it (for example to Police in relation to the Loan of the Club Motorcycle).
Where personal data is required by a third party, a committee member may send a single-use extract of relevant data. Third party data processors must be GDPR compliant and any extract supplied by the club must be deleted once its purpose has been fulfilled.
How is this Information Used?
To fulfil postal issues of ATG club magazine.
To remind you of subscription renewal dates, and confirmation of Membership Status
To notify you of club events that may be of interest, or any changes to details of events. These could include the annual trackday, annual rally and events in your local area.
To fulfil goods or services which you have ordered from the MRC.
To simplify your use of our Internet resources by allowing you to remain logged in to the forum and members’ area.
To keep track of the location and use of the Club Motorcycle.
Where is your Data Stored?
We are committed to ensuring that any information you provide to us is secure. In order to prevent unauthorised access or disclosure, we have put in place suitable measures and procedures to safeguard and secure the information that we collect.
Your Membership data is stored in an encrypted database on password-protected PCs under the control of MRC Committee members.
Data relating to purchases made through our third party e-commerce supplier is held securely witihin the e-commerce platform
Data relating to the Club Motorcycle is held in paper form by the Club Motorcycle Administrator.
Data relating to trackday entries is held by the trackday organiser.
Disclosing your Information
We will only pass on your personal information to trusted suppliers to enable the MRC to provide agreed services to you (e.g. posting ATG).
We will never share your information with any other organisations for marketing or commercial purposes. Neither will we pass on your details to any individual without your agreement.
Your Rights
You can find out what information we hold about you, or request changes to the data we hold by emailing the MRC Secretary at secretary@morini-riders-club.com or by writing to the address in ATG.
You have the right to opt out at any time. If you do decide to opt out we will delete all personal data that we hold on you, unless there is a legal obligation upon us not to.
If deleting your personal data at your request means that the MRC cannot fulfil its obligations to you (for example providing Club Membership, Goods or Services), all outstanding obligations will be deemed to have been fulfilled.
